Provide the perfect solution to help poster session participants present their research.
Poster Board Options
Service Information
Flat-Rate Rental Period
Each booking covers a rental period of up to seven (7) days. We don’t charge a daily rate, giving you the flexibility to adjust the event’s production schedule around other vendors.
We encourage Event Managers to book 2 to 3 months in advance to guarantee availability.
Setup & Dismantle Labor
We’ll set up and dismantle on your desired timeline, including nights, weekends, and holidays.
Schedule work during our regular hours (Monday through Friday, 8 am to 5 pm), and you’ll be guaranteed our lowest labor rates. Higher rates apply outside regular hours, weekends, and federal holidays.
The number of boards and timelines determines our crew size and labor cost.
Delivery & Pick-Up
Based in Los Angeles County, we deliver and pick up anywhere in Southern California.
The location and size of your event will determine the transportation cost.
Note: We currently don’t offer a will-call pick-up service at our location.
Coordination with Venue
We proactively coordinate with venue representatives to ensure a smooth move-in and move-out of the poster boards.
Venue requirements often include shipping dock reservations, insurance verification, parking, and security passes.
We do this for all events at no extra charge.

Scaled Floor Plan Layout
If you’re wondering how many boards will fit in a particular room, we can help.
First, we’ll work with the venue to get precise room dimensions and create a scaled drawing. We will then assist in planning a layout that will fit your event’s needs.
We charge a flat rate for the first drawing plus two (2) batch revision requests.
Pre-Event Site Visits & Meetings
A Project Manager on our team will be available for phone or scheduled Zoom meetings during office hours. If you require someone on-site for a planning meeting, we can arrange for that as well.
Charge for an on-site visit is determined by location and meeting time.

Research Poster Printing Order Form
After each booking, we create a dedicated poster printing order form (.pdf) for your event. You can then email it to researchers who may be interested in this service.
The order form contains event information, deadlines, and instructions on submitting and paying for posters.
Note: Online Ordering and Poster Upload Coming Soon.
FREE File Check and Digital Proof
Session participants should feel confident that their research posters will print as intended.
We work with them throughout the entire ordering and print approval process and alert them of any file issues, such as sizing, blurry images, or distorted text.
This free proofing process eliminates the need for reprints and provides a premium service to your participants that most print shops don’t offer.
Choice of Print Media
Researchers can choose from two (2) types of poster media.
First, our 8-mil Satin Photo Paper (semi-gloss) is a low-cost option with excellent quality but is best for short-term use.
The second option is a 15-mil Water Resistant Anti-Crease Fabric, which has a longer lifespan and is perfect for easy travel.
The poster order form lists print prices for both media types.
Accepted Print File Types
Our preferred file type for printing research posters is PDF. We also accept PowerPoint (.pptx) and TIFF (.tif) files.
Researchers should make sure to design their posters at the final print size and use images that look sharp when zoomed in 100%.
The poster printing order form lists all this information.
File Submission Deadline and RUSH Service
The poster printing order form will list a file submission deadline.
The deadline is set seven (7) days before the event. Posters received after this deadline will be charged a RUSH fee. We stop accepting orders the day before the event.
The poster order form has these dates listed for researchers.
Free Delivery to Event
We deliver the posters directly to the event along with the poster boards, so there’s no delivery charge for researchers.
Information on the time and place researchers can pick up their posters will be available on the poster order form.
Posters are laid out and labeled for quick access.
Note: We can also ship posters to researchers for an additional fee.
Add-On Services
Pay for Researcher's Printing Costs
You have the option to cover all the Researcher’s poster printing costs. You can also restrict ordering to a particular poster media type and size to help set a budget.
The poster order form will note the complimentary printing service, and your final invoice will include the total printing cost for participants.
Have Posters Pinned to Boards
We recommend this service if you’d like to have posters pinned and ready for when researchers arrive.
If you assign specific spaces to participants, we would need a list of assignments before the event.
This service may increase the labor cost on the final invoice. We will notify you if it does.
Constrain Poster Size or Orientation
A great option if you’d like a uniform look to your poster session or you wish to constrain print sizes to fit our boards.
We recommend this service if you’d like to assign four (4) posters per board, two (2) per side.
We will customize the poster printing order form to whichever specifications you require at no extra charge.
Pre-Designed Powerpoint Poster Template
You can give poster creators a head-start while getting a uniform look across the event. We’ll create a custom PowerPoint template with your desired logos, colors, and text copy.
We charge a flat rate for the first draft plus two (2) batch revision requests.

File Submission Deadline and RUSH Service
The deadline to submit print-ready files is ten (10) days before the event. Late sign orders will incur a RUSH fee. We stop accepting orders the day before the event.

This service is the best way to guarantee that your signs will come out sharp and free of any print errors.
One of our Project Managers will work with you to get started. Items we typically ask for are logos, images, and sign copy (text). If your event has an established theme, we can focus the sign templates around that.
